1. Who does this policy apply to?

This policy applies to all SEARCH website (https://ihi-search.eu/) users and its goal is to communicate how we, TIC Salut i Social Foundation, collect and process your personal data.

2. When are your personal data collected and used?

There are several situations in which we may obtain information about you. We collect your email address when you sign up for our newsletter and when you use this website through cookies (see cookies policy). We may also collect personal details (name, organisation, country, contact information and the content of your message) if you reach out to us via the website contact form, through social media, by email, by phone, or through any other digital communication channel. We will use this data solely to respond to your initial enquiry, unless you agree to receive information related to the SEARCH Project.

4. How do we use your data?

We process your personal data for the following purposes:

• If you subscribed to the newsletter: to send you the SEARCH newsletter on a regular basis, including invitations to project-related events and webinars. You may also receive emails from us with questions and information regarding your subscription. You can unsubscribe at any time by emailing comunicacio@ticsalutsocial.cat or by clicking the link included in the newsletter.
• When you contact us through the contact form or via phone, email or another digital channel: to respond to the questions received.
• To enhance the website’s content and user experience by analysing how the site performs.

The purposes for which we use data obtained via cookies are described in our cookies policy.

We may also process your personal data to comply with legal obligations or to comply with reasonable requests from competent law enforcement authorities, judicial authorities, governmental agencies or bodies, including competent data protection authorities.

5. What is the legal basis for collecting and using my data?

If you subscribe to our newsletter, you give your consent for us to process your personal data for this purpose. Consent is the legal basis for this processing. Providing your consent is voluntary, but it is required in order to receive the newsletter. You may withdraw your consent at any time by sending an email to comunicacio@ticsalutsocial.cat or by clicking the unsubscribe link included in each newsletter.

If you contact us through our contact form, by phone, email, or any other digital communication channel, or if we process data for web analytics purposes, we rely on our legitimate interest to respond to your inquiry or improve the performance of our website.

6. Are we sharing your data?

The information collected through our website may, when necessary, be shared with:

• SEARCH consortium partners, for example if your inquiry relates to the role or activities of a specific partner.
• The European Commission when reporting SEARCH project results, or with governmental or judicial authorities where we are legally required to do so (e.g. police or other law enforcement bodies).

We share personal data only when it is necessary and, whenever possible, we anonymise and/or aggregate the data before sharing.

7. How long do we keep your data?

We process and store personal data as long as it necessary for the fulfilment of our contractual obligations under the Grant Agreement of the project. When this data is no longer necessary for the above purposes, it will be regularly deleted.

All personal data we collect to send you our newsletter we will keep for as long as you remain subscribed to our mailing list.

8. What are your rights as a data subject?

You have the following rights, which you may exercise as described below:

• Access: to ask whether we process your personal data and, if so, to obtain access and a copy of the data we hold about you.
• Rectification: to correct or update your personal data. If possible, please indicate the context in which we use your data (e.g. sending newsletters or replying to a request) so we can assess your request swiftly and accurately.
• Delete: to request deletion of your data, where applicable—for example, where the data are no longer necessary, the processing is unlawful, or you withdraw your consent.
• Restriction: to request that we restrict the processing of your personal data, where applicable—for example, temporarily, while we verify accuracy or consider an objection.
• Objection: to object to the processing of your data when it is based on our legitimate interests (i.e. you have not given consent and processing is not required for a contract or to comply with legal obligations). Where our interest relates to direct marketing, we will comply immediately. For other interests (e.g. security), please describe the circumstances underpinning your request. We will balance your interests against ours and, if yours prevail, we will stop processing your data.
• Data portability: to receive the personal data you have provided to us via the website in a structured, commonly used and machine-readable format, and to transmit those data to another controller without hindrance from us. This right applies only to data you have provided and where processing is based on your consent or is necessary for a contract with you.
• Withdrawal of consent: to withdraw your consent where processing is based on consent. Withdrawal does not affect the lawfulness of processing carried out before you withdrew consent.
